Definition

Responsible for scheduling and coordinating contested case hearings in accordance with the Administrative Procedures Act.

Distinguishing Characteristics

Positions work independently and have responsibility for the scheduling process to include:  (1) identifying issues and interested parties; (2) reviewing case to ensure presence of complete documentation before scheduling and obtaining missing information as needed; (3) determining need for and type of hearing/notice form; (4) preparing hearing calendars for and coordinating with Administrative Law Judge(s), Hearings Examiners, judges or similar positions; (5) assigning or adjusting hearing date and place; and determining time needed for hearing based on type of issues and number of parties; (6) coordinating scheduling services (e.g., interested parties, attorneys, witnesses, subpoena requests, court reporter, hearing space, postponements, withdrawals); and (7) maintaining tracking system. 

Typical Work

Determines what type of contested actions; sets up file and assigns a control number;  

Sets up the location, date and length of the hearing per the Administrative Procedures Act;  

Estimates travel time of Administrative Law Judges to hearing site;  

Keeps calendar of Administrative Law Judges' hearings as to date, time, length, and location;  

Performs other duties as required.

Knowledge and Abilities

Knowledge of:  legal process, legal terms, forms and documents; agency's policies, laws, rules and regulations applicable to duties; office practices; English usage and correspondence preparation; principles of human relations. 

Ability to:  establish and maintain effective working relationships with staff, all interested parties and public; analyze, interpret and explain policies, procedures and decisions; independently use good judgment and discretion in evaluating situations and making decisions; schedule effective use of professional staff time; speak and write clearly and effectively; plan and supervise work of support staff.

There may be instances where individual positions must have additional licenses or certification. It is the employer’s responsibility to ensure the appropriate licenses/certifications are obtained for each position. 

Persons legally authorized to work in the U.S. under federal law, including Deferred Action for Childhood Arrivals recipients, are eligible for employment unless prohibited by other state or federal law.

Desirable Qualifications

An Associate of Arts degree

OR

Two years of experience as an Office Assistant Senior or equivalent.
